Start with the moment the tote will be used
Begin with how staff will hand the tote to guests, not with the logo. For a studio open day, it may carry a water bottle, class notes, and a change of clothes. At a brand activation, it may hold product samples and a printed program. Write down the expected contents, how long guests will carry them, and whether distribution happens before or after the event. That gives you a sensible basis for the size, opening, and handle length.
Choose a structure that matches the event load
A flat tote suits light handouts and leaves a broad panel for the logo. For heavier kits or retail items, use a gusseted base, reinforced handles, or a zip top. Add an internal pocket only if people need to keep tickets, phones, or small gifts separate. Pack a sample with the actual event materials. You can then see whether the bag is still comfortable to carry and looks right when full.
Put the logo where it can be seen and reproduced
Choose the print area after the bag construction is confirmed. Seams, exterior pockets, and folded side panels reduce the usable logo space. Send vector artwork with the finished logo width, required colors, and preferred print or embroidery method. Use a digital mockup to approve placement. Then check the physical sample for color, scale, edge quality, and legibility when the tote is being carried.
Make the tote part of the event experience
Decide how the bag will appear at registration, in photographs, and on the way home. It can hold a welcome pack, work as a retail add-on, or be a useful thank-you for members and volunteers. Keep the inserts and packaging simple so staff can distribute them quickly. If several programs share the event, a neutral base color and a small, consistent logo can make the tote usable after the campaign ends.
Approve one clear production brief
Before placing the order, record the approved dimensions, fabric, color, handle construction, logo method, artwork, individual packing, quantity, destination, and required delivery date. Keep the sample photos with that record. Do not rely on a general reference such as a previous event bag, which may use a different material or print.
